FINANCE & OFFICE ADMINISTRATOR

Work with management to maintain records of all financial transactions of the organization in accordance with GAAP, keeping updated and accurate records of all students, donors and grants. Reports to Managing Director.

Specific responsibilities include but are not limited to the following:

• Managing day-to-day bookkeeping using QuickBooks and managing day-to-day orders using FileMaker
• Processing and reconciling orders from SquareSpace into FileMaker and QuickBooks
• Accounts payable, Accounts Receivable, Payroll
• Assisting Managing Director in preparing reports, including for annual financial review by outside accountant and annual budget
• Managing journal entries, reconciling accounts for the monthly or annual closing
• Administrative tasks; answering phones, filing, etc.
• Making trips between campuses to collect/disseminate paperwork, post office and bank as needed
• Assisting other departments as time allows, including some weekend or evening events, etc.
• General office duties as directed

Qualifications: *Experience working with financial information and maintaining records, preferably for nonprofit organizations, and excellent knowledge of accounting principles and processes. Associate’s or bachelor’s degree in accounting and 2-3 years’ experience preferred. Exceptional organizational and communication skills and proficiency in QuickBooks, Microsoft Suite, including Excel and Word, required. Squarespace experience a plus. Strong work ethic, attention to detail, ability to work independently, excellent customer service skills, professional manner, and positive attitude are all essential. References required. Current driver’s license and available vehicle required. Current housing close to organization required.

Salary range: $41,000 - $50,000 based on experience
